Upgrade, Replace or Reuse? Making the Most of Your Existing AV Technology
When workplace technology starts to show its age, the answer isn’t always to replace everything.
Some systems may still be performing well, while others may be holding your meeting spaces back. In some cases, a targeted upgrade can extend the life of an existing system and improve the user experience without the cost and disruption of a complete replacement.
The challenge is knowing which approach makes the most sense.
Before investing in new AV technology, it’s worth taking a closer look at what you already have, what is still fit for purpose and where improvements could make the biggest difference.
Start with an assessment
The first step is understanding the current state of your technology.
Consider how each room is being used, how well the equipment is performing and whether it continues to meet the needs of your users. A system that was perfectly suited to a room five years ago may no longer support the way people work today.
It’s also important to look beyond individual devices. An issue with meeting quality, for example, may not mean the camera needs replacing. It could be related to audio, room acoustics, connectivity, configuration or how the system has been integrated.
A technology assessment can help identify what is working, what isn’t and where investment is likely to have the greatest impact.

When should you upgrade?
An upgrade can be a good option when your existing system is fundamentally sound, but certain components are limiting its performance.
This could mean replacing an ageing camera, improving microphones, adding room scheduling or updating a control system, while retaining other equipment that remains fit for purpose.
Targeted upgrades can also help bring older spaces into line with current workplace requirements. For example, a room may have a reliable display and audio system but need updated conferencing technology to better support hybrid meetings.
By upgrading strategically, you can improve capability without necessarily starting from scratch.
When is replacement the better option?
There are times when replacing a system makes more sense.
Older technology can become increasingly difficult or expensive to support, particularly when components reach end of life, software is no longer supported or replacement parts become difficult to source.
Compatibility can also become an issue. As platforms, operating systems and workplace requirements evolve, an older system may no longer integrate effectively with the technology your organisation relies on.
If multiple components are reaching the end of their useful life, replacing the system as a whole may provide a more reliable and cost-effective long-term solution than continuing to patch individual issues.

And what can you reuse?
Reusing existing technology can be an important part of a well-planned AV strategy.
Not every component needs to be replaced simply because a room is being upgraded. Displays, speakers, mounting infrastructure, cabling and other equipment may still have plenty of useful life remaining.
Reusing suitable equipment can help reduce unnecessary costs, minimise disruption and make better use of previous investment.
The key is making sure reused equipment is still compatible with the wider system and capable of delivering the required performance. Keeping something simply because it is already there isn’t necessarily the most cost-effective approach.
Think beyond the immediate upgrade
The best AV decisions consider more than what needs fixing today.
A good technology roadmap looks at the condition and age of existing equipment, current and future requirements, platform compatibility, supportability and expected lifecycle. This can help organisations prioritise investment rather than replacing technology reactively when something fails.
Sometimes the right answer is to upgrade. Sometimes it is to replace. And sometimes the smartest approach is to reuse what is still doing its job.
The important thing is having a clear understanding of what you have, what you need and where your investment will deliver the most value.
